Step-by-step instructions to configure App Passwords and IMAP for Outreach CRM
Go to myaccount.google.com/security open_in_new and sign in. Under “How you sign in to Google,” turn on 2-Step Verification if it isn't already on (you'll need a phone number or authenticator app). This is required — Google won't let you create an App Password without it.
Go directly to myaccount.google.com/apppasswords open_in_new, or navigate Google Account → Security → 2-Step Verification → App Passwords (near the bottom of that page). Google may ask you to re-enter your password to confirm it's you.
Type a label so you remember what it's for — e.g. Outreach CRM — and click Create. Google generates a 16-character password shown in four groups of four (spaces are cosmetic, you can ignore them).
Google shows this password only once. Copy it now and paste it somewhere safe temporarily (like a password manager) — you won't be able to view it again, only revoke and generate a new one.
In Gmail itself, go to Settings (gear icon) → See all settings → Forwarding and POP/IMAP tab → enable IMAP access → Save Changes. Without this, reply-detection won't work even with a valid app password.
In your CRM's SMTP/IMAP settings, fill in:
Use the "Test Connection" button in Settings to confirm both SMTP and IMAP connect successfully.
A Workspace admin may need to explicitly allow this first: Admin Console → Security → Authentication → 2-Step Verification → “Allow users to generate app passwords.” If the App Passwords option is missing even after enabling 2FA, this is almost always why.
